Take goods back, and swap them

A sale return refunds and restocks. An exchange does both halves on one document. Here is which to reach for.

A return always starts from the sale it belongs to. Sale return, then Add Return, then type the reference of the original sale and press Find the sale. It has to be a completed sale, and if a return already exists you are taken to that one rather than starting a second.

  • Tick the lines coming back and set the quantity on each.
  • Add a Return Note and a Staff Note if it needs explaining.
  • Press Submit.

Saving puts the returned quantity back on the shelf in the sale's own warehouse and reduces what the customer owes on that sale.

Returns are not kept in a bin. Deleting one takes its stock back off your shelves, gives back any reward points and deposit it refunded, puts the sale back to Completed and removes the attached document for good.

The screen says it plainly: an exchange is not a return. One document takes items back and hands different items out, and whatever is left over is either paid by the customer or refunded by you.

  • Sale, then Sale exchanges, then Add Exchange.
  • Type the reference from the original receipt and press Find.
  • Under Items coming back, tick what the customer is returning. You cannot return more than was bought, or more than is still outstanding.
  • Under Items going out, use Add a product to search for what they are taking instead.
  • Settling the difference works itself out and shows Value coming back, Value going out and Difference. Change the Direction and Amount only if you agreed something else with the customer.
  • Press Save Exchange.

The Direction is one of Customer pays, We refund or Nothing to settle. The items coming back go on the shelf and the items going out leave it, in the one save.

An exchange cannot be edited or deleted. It moved stock in two directions and changed the invoice it was made against. To correct one, make another exchange.

Purchase return works the same way from the other side. Type the reference of the purchase the goods arrived on, press Find the purchase, tick the lines and set quantities.

Saving takes the returned quantity off the shelf, because the goods are going back. Deleting a purchase return puts the stock back on your shelves, because the goods were never actually sent.
