Back up your data, and get it out

How to take a full backup, how long the file lasts, and the other ways to get figures out of Stockovaa for an accountant.

Settings, then Backup database. A backup is a single file holding everything: your products, your sales, your customers, your staff and their pay.

  • Only an account owner can take one. A backup contains every wage, every cost price and every password in the business, so it is kept with the owner.
  • Press Take a backup now. It runs in the background and you can leave the page.
  • A backup moves through Waiting to start, Running and then Ready. Recent backups lists them with when it was taken, the size and the state.
  • Press Download on a ready backup. The link is only good for a few minutes, so start the download straight away.

Anyone who opens that file can read every customer, every price and every wage you have. Store it encrypted, and do not email it. Backups are also cleared after a number of days, which the screen tells you, so a backup is not an archive.

  • Most list screens carry an Export CSV button, including invoices, reports and the HR lists.
  • The reports section covers sales, purchases, stock, customers, suppliers, users and profit, and each one exports.
  • Account Statement gives one bank or cash account with its opening balance, every movement and its closing balance, which is usually what an accountant asks for first.

A backup that did not finish shows Failed with the note to try again, and to tell us if it keeps failing. One that has been cleared shows Expired, and the fix is to take a new one.
